TERMS AND CONDITIONS FOR O-RINGEN ÅRE 2023

O-ringen AB is the organizer of O-Ringen competitions. By Nordiq AB (BN AB), org. nr. 556669–6125, Box 163, 271 24 Ystad, administrates bookings, registrations and payments for the competition and other services in the booking portal oringen.se on behalf of O-Ringen AB.

BN AB arrange/mediate a number of different accommodations and activities. The terms and conditions apply in addition to those required by the Association of Swedish Travel Agents and Tour Operators (SRF). These additional terms apply to BN AB and the individual who makes the booking/purchase (Booker) through the Booking Portal.

PACKAGES
In the case of accommodation beeing booked on www.oringen.se together with the booking of competition, your reservation will constitute a package travel arrangement, arranged by By Nordiq AB, Hamntorget 2 i Ystad, tfn 0411-558725, support@bynordiq.se and both booking of competition and accommodation will be protected by the package travel rights and BN ABs travel guarantee.

If you book additional travel services for your trip or vacation via this link/links no later than 24 hours after receipt of your booking confirmation from our company BN AB these travel services will however constitute a part of a linked travel arrangement. In that case BN AB has, in accordance with EU regulations, a refund insurance for services that cannot be carried out in case of insolvency on the part of BN AB. Note that this does not mean any refunds if the service provider should become insolvent.

GENERAL BOOKING TERMS AND CONDITIONS FOR O-RINGEN COMPETITION AND PRODUCTS ARRANGED BY O-RINGEN AB

These terms and conditions apply to purchases made through O-Ringen AB’s Booking Portal that can be found at oringen.se under Book/Entry (Booking Portal) in conjunction with the O-Ringen orienteering event (O-Ringen). O-Ringen AB reserve the right to unilaterally change these booking terms and conditions. Any changes will take effect no sooner than 30 days after the new and updated terms and conditions have been published on the Booking Portal website.

1. WHO IS RESPONSIBLE?

1.1 O-Ringen's competitions are arranged by O-Ringen AB (O-Ringen AB), organization no. 556937-4084, Almas allé 9, 756 51 Uppsala. O-Ringen AB is 100% owned by the Swedish Orienteering Association (SOFT) and the surplus from the O-Ringen events goes back to Swedish orienteering.

1.2 O-Ringen AB is the organizer and responsible for all competition products and ancillary services that can be booked in the Booking Portal.

1.3 By Nordiq AB (BN AB), org. no. 556669–6125, Box 163, 271 24 Ystad, administers bookings, registrations and payments for competition products and ancillary services in the Booking Portal on behalf of O-Ringen AB. BN AB thus has no responsibility for the O-Ring arrangements.

2. HOW AND WHEN DOES THE COMPETITION REGISTRATION / BOOKING BECOME BINDING?

2.1 By signing up for the competition / booking the start of the competition in the Booking portal, you, the Booker, agree to these General Booking Terms applicable at any time. These General Booking Terms apply regardless of whether you have paid the registration/booking for the competition in full, in part or not at all. Therefore, check these General Booking Conditions carefully in advance.

2.2 The registration for the competition / the booking of the start of the competition is binding for the Booker. The purchase of parking fees and ancillary services is also binding.

2.3 In cases where the Booker notifies / books the start of the competition for another person / other persons, the Booker assures with the notification / booking, that the person / these persons to whom the notification refers has read these General Booking Terms and Conditions, which become valid for them with the Booker's registration/booking. The same applies to ancillary services.

2.4 in cases where the Booker makes a booking for children who are under 18 years of age, this is only permitted if consent is given by the person who has parental responsibility for the child.

2.5 Registration/bookings are not changeable or refundable unless specifically stated in these General Booking Conditions. Registration for the competition / booking of the start of the competition is binding and the fee paid is therefore not refunded. The same applies to ancillary services.

2.6 O‑Ringen AB reserves the right to transfer our rights and obligations according to these General Booking Conditions to third parties.

3. HOW AND WHEN SHOULD THE REGISTRATION / BOOKING BE PAID?

3.1 Payment must be made in advance by payment card (VISA/ Mastercard) or via bank giro against invoice:

Bookings with invoice payment, which are made until 1/11 2022, must be paid at the latest 90 days after booking
Bookings with invoice payment, which are made 2/11 2022 - 30/4 2023, must be paid at the latest 45 days after booking
Bookings with invoice payment, which are made 1/5 2023 - 1/6 2023, must be paid at the latest 7 days after booking
Bookings made on 2/6 2023 and later do not have the possibility of invoice payment.

By Nordiq AB is listed as the payee as they administer payments for O-Ringen's products. Payment instructions can be found in the Booking portal. After June 1 of the respective year, payment is only possible with a payment card (VISA/Mastercard), while bookings via email have a 1-2 day due date. The right to use a booked notification or ancillary service is only granted when full payment has been made.

3.2 After registration/booking of the competition and full payment for the competition has been made, you will receive a booking confirmation to the e-mail address you provided. Check that the information in the booking confirmation is correct. If you have not received a booking confirmation no later than 24 hours after making a booking or if any of the information in the booking confirmation is incorrect, please contact us at oringen@bynordiq.se or by phone +46 771 49 90 00.

4. PAYMENT VIA THE INTERNET

4.1 To protect and encrypt the Booker's credit card details when using the Booking Portal, an encrypted connection (SSL) is used.

5. WHAT HAPPENS IF THE REGISTRATION / BOOKING IS NOT PAID?

5.1 O-Ringen AB reserves the right to remove bookings where payment has not been made after a reminder.

6. IF SOMETHING HAPPENS TO THE PARTICIPANT?

6.1 All participation in connection with the O-Ring is at your own risk. By accepting these General Booking Terms with your registration, you agree that you participate in the competitions at your own risk and that O-Ringen AB is therefore not responsible for any damage that may be caused to you when participating in the competitions. O-Ringen AB is also not responsible for damage that may occur to clothing or technical equipment that you wear during the competitions. O-Ringen AB is also not responsible for clothing or other equipment left behind.

6.2 O-Ringen AB has taken out insurance for unforeseen events that apply to all participants, companions and spectators at O-Ringenstaden, at the competitions or on the way to/from any of these places. O-Ringen AB is not responsible for damage that participants, companions or audience may incur in connection with the event. All participants, companions and audience must follow O-Ringen AB's instructions, even if they are issued by third parties hired by O-Ringen AB. Participants at O-Ringen must also follow the Swedish Orienteering Association's current competition rules.

6.3 In connection with the registration/booking of the start of the competition, cancellation protection can be purchased from By Nordiq AB, see separate section below in these booking conditions regarding conditions for cancellation protection.

6.4 In the booking portal, it is also possible to buy Motion race insurance via Folksam, see further regulations at Folksam.

7. WHAT IF THE PARTICIPANT WANTS TO CANCEL?

7.1 Registration for the competition/booking of the start of the competition, O-Ringen AB's products, services and additional services in connection with O-Ringen is binding and the fee paid is not refunded. If you have purchased cancellation protection or any of the insurances, see specific conditions for each. In the event of illness or injury, you may be able to receive compensation from your insurance company or from Folksam if you have taken out sports race insurance. Contact your insurance company if you want to request compensation.

7.2 Sports events on a specific day or for a specific period of time are excluded from the right of withdrawal according to the Act (2005:59) on distance contracts and contracts outside business premises.

8. WHAT IF THE PARTICIPANT WANT TO CHANGE/TRANSFER PRODUCT/SERVICE?

8.1 Changes and transfers can be made at the respective stop time, read carefully what applies to your product/service - feel free to contact us if you have any questions! Note that the change fee is charged from 1 May and in some cases even before if the change is not made on your own. It is the price at the time of the change that applies to the new product/service and to the product/service to be changed. If the new product/service is more expensive (today than the previously purchased product/service is today), the difference must be paid. Where a price difference occurs, no difference will be refunded.

8.2 For transfer of start between different products/class sets where the new product/class set is more expensive today than the previous one is today, the difference must be paid. If the new product/service is (today) cheaper than the previous product/service is (today), no refund will be made. When transferring, you should therefore transfer to someone who wants to participate in the same product/class set (see table below) that you have purchased or who wants to participate in a cheaper product/class set than you purchased. Please note that we do not provide any service to find people to entrust a booking/start/camping to, but refer to other channels, e.g. orienterare.nu or startplatser.se.

9. CHANGE FEE

9.1 Until May 1, there is no charge for changing participant information (class, name, etc.) on your own online or with the help of a booking service regarding things that cannot be done on your own online (product, competition, etc.). Changes that can be made on your own online (change of class, name, etc.) always cost SEK 200 via the booking service. There is no change fee until May 1 to add products to your booking.

9.2 From 1 May onwards, all changes/transfers requested by the participant/Booker cost SEK 200 regardless of the change channel (via Booking Service, online or on site under the O-Ring via Participant Service). The change fee applies per booking and change occasion, regardless of whether several changes are made (for an individual participant or several participants) at the same individual change occasion. Note that the Booking Portal does not record the type of changes made, whereby a change fee is applied even if the Booker only adds a new participant to the booking (and does not change the information of existing participants). You can avoid a change fee in these cases by creating a new booking for new participants.

9.4 Change/transfer of other products
Changes to non-individual-related products, services and additional services (for example closing party, Miniknat, babysitting, parking and training maps, etc.) can usually be made by 1pm on the current competition day. Transfer of these does not need to be changed-handled as the booking number constitutes confirmation.

10. WHAT IF O-RINGEN WANT TO CHANGE A PRODUCT/SERVICE?

Change requested by O-Ringen AB

10.1 The difference between the booked product/service and the assigned product/service is refunded. Here, the prices that applied at the time of booking apply. An example of a change called for by O-Ringen AB is in case of relegation when thinning to the Elittouren.

10.2 Refunds are made on the condition that the participant/Booker has given O-Ringen AB complete refund information no later than August 31 of the current year. Payment information should be sent to info@oringen.se. A change fee is not charged in cases where O-Ringen AB has requested the change/change.

11. WHAT IF O-RINGEN HAS TO CANCEL OR MOVE THE COMPETITION?

11.1 O-Ringen reserves the right to cancel or move the entire O-Ringen event as well as to cancel or move one or more competitions or to change routes and/or start times:

11.1.1 due to circumstances beyond O-Ringen's control, including but not limited to official action or omission, new or amended legislation, labor market conflict, blockade, fire, flood, other natural disaster or major accident, or

11.1.2 if O-Ringen or an authority deems this necessary for your and/or other participants' safety or health, or

11.1.3 if the race is not sanctioned by the Swedish Orienteering Association or if O-Ringen is not granted the authority permits required for the competitions to take place.

11.2 O-Ringen has no obligation to refund registration/booking fees or to pay damages or other compensation in the event that the entire O-Ringen event or one or more competitions must be canceled or moved as a result of changes according to point 11.1.1- 11.1.3 above or other extraordinary circumstances.

11.3 In the event that O-Ringen event, part of it or one or more competitions is canceled or moved as a result of the above circumstances 11.1.1 - 11.1.3 or other extraordinary circumstances, the participant/Booker can choose between either:

11.3.1 the registration is moved with and you keep your registration for the moved event, the competition and the payment made applies to the moved event / part of the event, the competition or;

11.3.2 receive a certificate of value corresponding to 100% of the registration / booking fee paid which is valid for 3 years from issue.

11.3.3 If the participant/Booker does not make an active choice no later than 30 days after notification of the move, the registration will be moved according to 11.3.1.

11.3.4 As By Nordiq AB only administers the payments to O-Ringen for their competition products, claims for reimbursement cannot be made to By Nordiq AB.

12. WHAT HAPPENS IN THE EVENT OF A DISPUTE

12.1 Any complaints about the purchased/booked product or service must be submitted to O-Ringen or their representative as soon as possible.

12.2 O-Ringen AB can be reached at: info@oringen.se.

12.3 The right to appeal is lost, unless O-Ringen or their representatives were notified on site and given a reasonable time/chance to resolve the problem. Any claims for compensation must be received by O-Ring in writing no later than the last August of the year of the event.

13. TERMS OF SIGNED CANCELLATION PROTECTION

13.1 By Nordiq AB offers voluntary cancellation protection for bookings on the Booking Portal. If the Booker has taken out cancellation protection, a full refund is issued for the person in the travel party who cannot reasonably use the registration / booking for the start of the competition due to the person himself or someone close to him suffering from an acute illness, accident or death. By close relative is meant the spouse, husband, children, grandchildren, siblings, parents, grandparents and parents-in-law of the person in question, person with whom the insured lives in a marriage-like relationship. Acute illness means illness that the person in question did not know, could or should have known would occur at the time of booking. The injury must be substantiated with a valid medical certificate. Certain exceptions exist for when cancellation protection does not apply despite a valid medical certificate. Cancellation protection cannot be booked for bookings of more than 9 people.

13.2 The following applies for the cancellation protection to come into effect:

13.2.1 The cancellation protection was taken out in connection with the original booking (not by amendment)

13.2.2 Cancellation must be made no later than the day before the date of the activity. In case of later cancellation, no refund will be received.

13.2.3 The cancellation protection only applies together with a medical certificate and is sent to BN AB no later than five working days after the cancellation. The medical certificate must be completed by a doctor connected to the Social Insurance Agency and the certificate must be verified with the doctor's name, contact telephone number and stamp. The medical certificate must state: examination date, examination results, and, in current cases, that the person in question cannot use the booking due to examination results in question.

13.2.4 In case of cancellation against cancellation protection, the cancellation protection is not refunded.

13.2.5 Cancellation protection does not cover:

13.2.5.1 Acute worsening of existing illness/chronic condition

13.2.5.2 Examination, treatment and/or hospitalization that was planned before the trip was ordered

13.2.5.3 Planned operations and related illnesses or medical conditions that arise as a result of this

13.3 Please note: For the registration fee/start fee, the cancellation protection only applies to the person to whom the medical certificate refers. Other people's registration fee/start fee is not covered by the cancellation protection.

13.4 Cancellation protection subscribed to in the event of a change or additional purchase does not apply and will be refunded to the customer. Cancellation protection that is canceled when the booking is changed is not refunded.

13.5 Cancellation protection is non-refundable.

14. PERSONAL DATA

14.1 O-Ringen AB is the personal data controller and responsible for the personal data collected in connection with the Booker's registration, booking and participation in O-Ringen. By Nordiq AB is the personal data controller for the data submitted to the cancellation protection.

14.2 BN AB and O-Ringen AB collect and process personal data that you provide to us. Personal data that will be processed includes, but is not limited to, name, date of birth, gender, address, email address and telephone number. We may also process information that is registered in connection with ordering, e.g. age, requests for special diets.

14.3 Results linked to your participation in  O-Ringen are saved. You provide the personal data yourself in connection with ordering arrangements, creating accounts or other services on the web or by telephone.

15. PURPOSE OF PERSONAL DATA PROCESSING

15.1 O-Ringen AB will process personal data about booked persons in order to be able to fulfill our obligations towards the participant and other participants in connection with O-Ringen as well as to provide the services and/or products that the participant has ordered. Processing of personal data may also take place in order for O-Ringen AB to be able to fulfill legal obligations for, among other things, applicable security.

15.3 Please note that providing your personal data is voluntary, but in many cases we cannot provide you with the service and/or product you ordered if you do not provide your personal data.

15.4 Processing of your personal data may also take place in order for us to be able to fulfill obligations according to the Accounting Act and other laws and authority regulations, e.g. applicable security. The processing may also include information about contacts between you and BN AB, e.g. notes about questions and complaints.

15.5 In addition to the purposes stated above, your personal data may be used for O-Ringen's market and customer analyses, risk management and statistics in order to provide you with a better travel offer and better service. O-Ringen may, if you have not objected to direct marketing in writing, also use your personal data to provide various offers on services and/or products from O-Ringen. You can unsubscribe from receiving such offers at any time with each marketing communication. In order to be able to connect participants to ranking lists such as the Swedish list, a connection to Swedish Orienteering's system Eventor is made for those participants who have a login to Eventor. For these, the Eventor ID and date of birth are also saved. Information such as name, gender, year of birth, place, association affiliation and results, as well as photographs and TV recordings in which booked persons appear, will be able to be published on TV, the internet and in newspapers and used in O-Ringen's operations. For cancellation protection, the personal data is collected for the purpose of processing a case regarding the refund of the registration fee/start fee. Employees within BN AB who work in the call center part and who need to see the medical certificate in order to be able to make a refund will see this. The medical certificate will only be saved during the time that a refund case is handled, after which it will be deleted. The personal data will not be transferred to third countries.

16. STORAGE OF PERSONAL DATA

16.1 The personal data will be saved for accounting purposes for a period of seven (7) years. If consent is given in order to be able to follow up and develop the O-Ringen event in future years as well, data will be saved for five (5) years. Consent to newsletters and newspapers applies as a permanent subscription until it is revoked. Data related to taking out Motionslopsförsäkring as well as information on health conditions relating to the need for a map with special printing or support are not saved after the competition for other than accounting purposes. Personal data such as name, club and results (start times, stamping times, positions, etc.) are saved for statistical purposes and are searchable via the internet. For the participants who could be linked to Eventor, the Eventor ID and date of birth are also saved, results are then also searchable in other systems within Swedish orienteering linked to Eventor.

17. WHO MAY PROCESS THE PERSONAL DATA

17.1 Employees of O-Ringen AB and officials who work in connection with O-Ringen may process the personal data. Your personal data will also be processed by By Nordiq AB. Your personal data will be processed by the BN Group's partners in the hospitality industry, such as hotels, local partners and by the BN Group's contracting suppliers of administrative services and system services. The personal data will not be transferred to third countries. The booker whose personal data has been registered has the right to request an extract from the register to obtain information about which personal data O-Ringen AB and By Nordiq AB process. The booker also has the right to request the correction of incorrect information and the right to have the personal data deleted. The booker has the right to block processing and the right to object to the processing of personal data. In order for O-Ringen AB and By Nordiq AB to be able to fulfill an agreement entered into regarding participation in the O-Ring or other booked product/service/cancellation protection, the Booked Party's personal data needs to be processed. In the event of possible blocking of treatment on the part of the Booker where O-Ringen and BN cannot fulfill the agreement entered into, no refund will be made. The booker has the right to lodge a complaint with the supervisory authority, Datainspektionen.

 

GENERAL BOOKING TERMS AND CONDITIONS FOR ACCOMMODATIONS
ARRANGED AND / OR MEDIATED BY

These general terms and conditions apply to booking of place at the O-Ringen camping ground, O-Ringen hard surface accommodations and other accommodations mediated by By Nordiq AB (BN AB), org nr 556669-6125, Box 163, 271 24 Ystad, in conjunction with the event O-Ringen arranged by O-Ringen AB. BN AB reserves the right to unilaterally change these general booking terms and conditions. Any changes will take effect no sooner than 30 days after the new and updated terms and conditions have been published on the Booking Portal website. These terms and conditions were most recently updated on 2022-05-03.

BN AB arranges O-Ringen camping and O-Ringen accommodations on hard surface in conjunction with O-Ringen events. BN AB also mediates bookings of accommodations in hotels, holiday villages, B & B and similar as well as private accommodations in conjunction with O-Ringen events.

1. WHEN DOES THE BOOKING OF CAMPING, HARD SURFACE ACCOMMODATIONS AND OTHER ACCOMMODATIONS BECOME BINDING?

1.1 By booking camping site, hard surface accommodations or other accommodations through the Booking Portal you, the Booker, agrees to these, currently valid, terms and conditions. These terms and conditions apply from that moment regardless of whether you have paid the entry fees in their entirety, partially, or not at all. Therefore, make sure to carefully read these terms and conditions before booking. Booking of camping site, hard surface accommodations and/or other accommodations is binding for the Booker.

1.2 In the cases when the Booker makes reservations of camping site, hard surface accommodations or other accommodations on behalf of another person or persons, then by virtue of approval of these terms and conditions, the Booker insures that the person or persons in question has been informed of these terms and conditions that become binding for them when the application/booking is made.

1.3 In cases where bookings are made on behalf of a child under 18 years of age, the Booker must first receive consent from the child’s parent or legal guardian.

1.4 Bookings are not subject to cancellations, changes, or refunds, unless specified in these terms and conditions for the product or service in question. Booking of accommodations is binding and thus no refunds will be made.

1.5 BN AB reserves the right to transfer our rights and obligations according to these terms and conditions to a third party.

2. HOW AND WHEN SHALL PAYMENT BE MADE?

2.1

2.2 After reservation/booking of accommodations and payment in full have been made you will receive a booking confirmation to the email address you have supplied. Make sure that the information in the confirmation is correct. If you still haven’t received a confirmation 24 hours after booking or if any of the information is incorrect we ask that you contact us at oringen@bynordiq.se or by phone +46 (0)8 – 409 06 408.

3. PAYMENT OVER THE INTERNET

3.1 In order to protect and encrypt the Booker’s credit card information, the Booking portal uses a Secure Socket Layer (SSL) encrypted connection.

4. WHAT HAPPENS AT NON-PAYMENT?

4.1 BN AB reserve the right to remove bookings that have not been paid for in time.

5. WHAT APPLIES FOR GROUP BOOKINGS (FOR MORE THAN 9 PEOPLE)?

5.1 If no other agreement has been made, the Booker must, no later than 4 weeks before arrival, provide specific information about the number of group members and the names of those who will be staying in the rooms.

5.2 Cancellation insurance does not apply to group reservations.

6. WHAT APPLIES IF THE BOOKER WANTS TO CHANGE/TRANSFER CAMPING/HARD SURFACE ACCOMMODATIONS?

6.1 Change/transfer of camping/hard surface accommodations
Up until June 30th the following changes can be made concerning camping accommodations:

6.1.1 Change of camping category provided that the chosen category is available. It is the current price for the products in question that applies. If the new product or service is currently more expensive than the earlier purchased one the difference in price will be charged. If the current price is lower no refund will be made.

6.1.2 Change of desired club to be placed with. Placement with club members within the same category is then guaranteed. Note that change of name is not necessary if the choice of club to be placed with remains.

6.2 After June 30th it is not possible to change or make new bookings of camping accommodations online. Reservations of any remaining available camping accommodations can be made at Participants services at O-Ringenstaden from July 21st 12.00.

6.3 Until 1 May (competition year) no change fee will apply when changing with help from bookingservice. From 1 May and later a change fee of 200 SEK will apply when changing the reservation. The change fee will apply per booking and date the changes are made.

7. WHAT APPLIES TO CANCELLATIONS?

7.1 Bookings of camping, hard surface accommodations and mediated accommodations are binding and cannot be cancelled by the Booker. Payment will not be refunded.

7.2 Strike, lockout, fire, flooding or other natural disaster, accidents, blockade, war, government action/decision, new or changed laws, restrictions on deliveries or other extraordinary circumstances beyond the control of the accommodation provider entitles BN AB and the accommodation provider to cancel the contract/booking without being liable to pay compensation of any kind.

7.3 When booking camping, hard surface accommodations and mediated accommodations it is also possible to purchase cancellation insurance from By Nordiq i Sverige AB, see separate conditions below for cancellation insurance.

7.4 A booking of camping site, hard surface accommodations or mediated accommodations in conjunction with O-Ringen events is non-refundable. Illness or injury might make you eligible for compensation from your insurance company or cancellation insurance. Contact your insurance company to request compensation. 8. SPECIFIC TERMS FOR PRIVATE RENTAL ACCOMMODATIONS

8.1 BN AB mediates private rental accommodations as agent. The rental agreement mediated by BN AB is between you as rentee and the owner of the property as rentor. After booking and payment you will get an e-mail confirmation from the agent NT AB. With the confirmation you will also receive a voucher/document with additional information.

8.2 Booking is based on the object description that is based on information from the rentor. Rules about cleaning and bed linen is provided in the information from the rentor or agreed upon mutually between rentee and rentor. The following rental terms are part of the rental agreement entered, with BN AB as agent, between the rentor and rentee at booking:

8.2.1 The rental property must not be used as accommodation by more guests than the maximum number of beds specified by the rentor, unless otherwise agreed. The rentee does not have the right to set up tents or caravans on the property. The rentor does have the right to evict the extra persons and no refund will be made.

8.2.2 If there is no information about bed linen or cleaning in the information from the rentor the general rule is that the rentee is responsible for this and that it is not included in the rental price.

8.2.3 If nothing else is specified in the information from the rentor the object will be available from 15.00 on the day of the arrival and the time for checkout is no later than 11.00. The rentee and rentor are responsible for arranging to get and return keys.

8.2.4 If the rentor has specified that pets are now allowed the rentee does not have the right to bring pets. Even if the rentor has specified that pets are not allowed that does not constitute a guarantee that there has never been pets there before or that the rentor does not have pets.

8.2.5 Smoking is generally not allowed in the rental objects unless the object description specifically says that smoking is allowed. This must be agreed upon separately between rentee and rentor.

8.2.6 If boat is included in the rental object the rentee is responsible for checking the equipment as well as making sure that any driving certificates or similar as required by law are available when using the boat. Neither rentor nor agent can be held responsible for any loud noise from traffic, machinery or similar.

8.2.7 Neither rentor nor agent can be held responsible for the quality of the internet connection, like poor coverage or low speed.

8.2.8 The rentee is responsible for the use of pools, spa baths and similar, and responsible for following rules when using same.

8.2.9 Note that rental object bookings can be cancelled by agent or rentor if there is a proper reason for it, such as fire, flooding, or technical problems or if the property has been sold. The agent cannot be held responsible in these cases. The agent can only try to help with finding a similar object as soon as possible.

8.2.10 Equipment and movables shall be handled with respect. Read more in the voucher information.

8.2.11 The rental objects shall be in good order at arrival. Complaints regarding cleaning should be made immediately to the rentor. Should the rentee find deficiencies or damage on arrival the rentor and agent must be informed immediately (within 72 hours). Otherwise the rentee forfeits any rights to compensation. The rentor and/or agent have the right to try to rectify any problems within a reasonable time. Departure from the rental object before the end of the rental period is made at own cost and risk of the rentee. The rentee risks not being able to make demands. The rentee is then considered to have made any solutions to the complaint impossible.  The agent reserves the right to move the rentee to a different rental object to rectify any problems.

8.2.12 On departure the object should be left in the same condition as it was on arrival. The rentee is liable for any serious faults or damage caused by the rentee.

9. WHAT APPLIES IF O-RINGEN MUST CANCEL OR POSTPONE THE COMPETITION?

9.1 O-Ringen reserves the right to cancel or postpone the O-Ringen event in its entirety as well the right to cancel or postpone one or more competitions or change routes and/or start times

9.1.1 due to circumstances beyond the control of O-Ringen, including but not limited to government action or negligence, new or changed laws, labour conflicts, blockade, fire, flooding, other natural disasters, or major accidents or

9.1.2 if O-Ringen or the authorities consider it necessary for the safety or health of you and/or other participants or

9.1.3 if the competitions are not sanctioned by the Swedish Orienteering Federation or if O-Ringen is denied the government permits needed to successfully arrange the competitions.

9.2 O-Ringen is not liable to refund any fees or pay damages or other compensation if the entire O-Ringen event or one or more competitions must be cancelled or postponed due to changes according to paragraphs 9.1.1-9.1.3 as specified above or any other extraordinary circumstances. This also applies to bookings of accommodations.

9.3 BN AB reserves the right, in case O-Ringen cancels or postpones the O-Ringen event in its entirety, part thereof or cancels or postpones one or more competitions or changes routes or start times, to cancel or move camping and/or hard surface accommodations.

9.4 BN AB also reserves the right to cancel or move camping and/or hard surface accommodations:

9.4.1 due to circumstances beyond the control of BN AB, including but not limited to government action or negligence, new or changed laws, labour conflicts, blockade, fire, flooding, other natural disasters, or major accidents or

9.4.2 if BN AB or the authorities consider it necessary for the safety or health of you and/or other participants or if BN AB is denied the government permits needed to arrange camping and/or hard surface accommodations.

9.5 BN AB is not liable to refund any fees or pay damages or other compensation if the entire O-Ringen event or one or more competitions must be cancelled or postponed or in case BN AB must cancel or move camping or hard surface accommodations due to changes according to paragraphs 9.1.1-9.1.3 as specified above or any other extraordinary circumstances.

9.6 In case of cancelled or postponed O-Ringen events no demands for refunds can be made to By Nordiq i Sverige AB for accommodations in hotels, vacation villages, B&B and private rental accommodations mediated by By Nordiq i Sverige AB as agent.

10. TERMS AND CONDITIONS FOR COMPLAINTS

10.1 Any complaints regarding a purchased or booked product or service must be submitted to the accommodation provider as soon as possible. Contact BN AB if the problem is not rectified.

10.3 The right to any potential compensation is forfeited unless the accommodation provider or their representative is informed of the problem on site and given reasonable time and opportunity to resolve the issue at hand. Any claims and requests for compensation should first be addressed to the accommodation provider and after that to BN AB in writing no later than August 31st of the year of the event.

11. TERMS AND CONDITIONS FOR CANCELLATIONS INSURANCE

11.1 By Nordiq i Sverige AB offers an optional cancellation insurance for bookings of accommodations made via the Booking Portal. If the Booker has signed a cancellation insurance, then a full refund will be provided for the person in the travel party that cannot reasonably use the service in question because that person or a close relative is affected by an acute illness, accident, or death. The term “close relative” applies to any spouse, child, grandchild, sibling, parent, grandparent, stepparent, or domestic partner of the insured person, or anyone in the insured person’s traveling party for this booking. The term “acute illness” refers to an illness that the person in question did not know about, could not know about, or could not have predicted at the time of booking. All injuries or illnesses must be confirmed by a signed doctor’s note.

11.2 The following conditions must be met for the cancellation insurance to go into effect:

11.2.1 The cancellation insurance was signed in conjunction with an original booking (not with a change made to a booking).

11.2.2 Cancellation must take place at least a day before the date of the specific activity. No refund applies if a cancellation is made at a later date.

11.2.3 Cancellation insurance is only valid in combination with a doctor’s note. An insurance claim must be sent to BN AB no later than five business days after the cancellation is made. The doctor’s note must be filled out and signed by a doctor connected to Försäkringskassan (Swedish Social Insurance Agency) and must contain the doctor’s name, contact information and official stamp. The doctor’s note must include the date the patient was examined, the results of the examination, the diagnosis, and, when applicable, the conclusion that the patient cannot use the booking because of this.

11.2.4 When cancellations covered by cancellation insurance are made, the cost of the cancellation insurance is not refunded.

11.3 Cases not covered by the insurance:

11.3.1 Acute escalation of an existing illness or chronic health problem.

11.3.2 Examination, treatment and/or admission or stay at a hospital that was planned before the trip was booked.

11.3.3 Planned surgeries/procedures and illnesses or complications resulting from such surgeries/procedures.

11.4 Cancellation insurance cannot be purchased for group booking.

12. PERSONAL INFORMATION

12.1 BN AB is responsible for the personal information that is collected in conjunction with the booking of camping sites, hard surface accommodations and other mediated accommodations. By Nordiq i Sverige AB (BN AB) is also responsible for the personal information that is collected for the cancellation insurance as well as accommodations in hotels, holiday villages, B & B’s and similar as well as private accommodations.

12.2 BN AB collect and handle personal information that you provide BN AB with.  Personal information that will be handled include, but is not limited to, name, birth date, gender, address, e-mail address and phone number. We might also handle information registered in conjunction with a booking, such as age and special dietary requests.

12.3 The purpose of handling personal information.

12.3.1 BN AB will process personal information about individuals for whom bookings are made to be able to fulfil our obligations to the Booker and other participants regarding bookings of camping sites and other accommodations. Personal information might also be used by BN AB to fulfil its legal obligations, including those related to security.

12.5 Note that you can refuse to provide personal information. But is often not possible for BN AB us to provide you with the product and/or service you have ordered unless you provide your personal information.

12.6 Your personal information might also be handled so that BN AB can fulfil obligations according to accountancy laws and other legal obligations, including those related to security. Handling might also include information about communication between you and BN, including questions and complaints.

12.7 Your personal information might also be used for our market and client analysis, risk management and statistics, to give you better travel offers and service. Unless you object to it in writing BN AB can also use your personal information to provide offers about services and/or products from BN AB. You have the right to decline to receive further offers.

In order to be able to connect a competitor with his or her international or Swedish ranking, those competitors who have an account with the Swedish Orienteering Federation’s registration system Eventor will have their O-Ringen registrations connected to their Eventor accounts. These competitors will have their Eventor-IDs and dates of birth saved by O-Ringen. Details such as name, gender, birth year, city of residence, club the participant competes for, and the participant’s results; as well as photographs or television clips containing the participant’s likeness may be published on television, internet, or in newspapers, and used in O-Ringen activities. For cancellation insurance personal information is gathered to be able to process a refund request. BN AB employees who work at the call centre division and who need to see the doctor’s note to process a refund will have access to the doctor’s note. The doctor’s note will only be kept for the duration of time necessary for the processing of a refund claim. Thereafter, it will be destroyed. Personal details will not be transferred to a third country.

Storing personal information

12.8 Personal information will be stored for bookkeeping reasons for a period of seven (7) years. If consent is given to follow up and develop O-Ringen in the subsequent years, then personal details will be saved for five (5) years. Providing consent to newsletter and magazine functions as a subscription until consent is withdrawn. Information related to the insurance Motionsloppsförsäkring as well as information about health conditions, such as need for special maps or a pusher to complete the race, is only stored after the event for bookkeeping reasons. Details such as name, club, and results (start times, punching times, places, etc.) will be saved for statistical purposes and will be searchable on the internet. Those competitors who have had their registrations connected with Eventor will also have their Eventor-IDs and birth dates saved. Those competitors’ results will also be searchable in other systems within Swedish orienteering that are connected to Eventor.

Who might handle your personal information?

12.10 Employees of BN AB as well as by partners of the BN-concern within the tourism business, for example hotels, holiday villages, B&B’s and local cooperation partners as well as suppliers of administrative and systems services to the BN-concern.

12.11 Personal information will not be provided to a third country. A Booker whose personal details have been collected has the right to request information about which of his or her personal details O-Ringen AB and BN AB have in their possession.

12.12 The Booker also has the right to request a correction of incorrect personal details and the right to request a deletion of personal details. The Booker has the right to block and oppose the use of personal details.

12.13 For O-Ringen AB and BN AB to fulfil its obligations related to a valid contract related to O-Ringen participation or other booked product/service/cancellation insurance the participants’ personal details need to be processed.

12.14 If the Booker blocks O-Ringen and BN AB from using his or her personal data in such a way that O-Ringen and BN AB can no longer fulfil its contractual obligations to the Booker, then no refund will be issued.

12.15

The Booker has the right to submit a complaint to the overseeing authority, Datainspektionen.
